This Privacy Policy describes how NexReach ("we," "our," or "us") collects, uses, and protects your information when you use the FieldIQ mobile application and related services. FieldIQ is an intelligence platform for Physician Liaisons, healthcare representatives, and care coordinators.

1. Information We Collect

Account Information: When you register, we collect your name, email address, password (encrypted), company name, website, role, and account type.

Profile Information: We store your clinic type, territories, office address, phone number, and preferences you provide.

Location Data: We collect location data when you add clinics, plan routes, or use map features. This is used to optimize visit planning, directions, and route optimization. When enabled by your team or yourself, we record your GPS location at the moment you start a clinic visit to verify attendance and support productivity insights.

Usage Data: We collect information about how you use the app, including clinics added, visits scheduled and completed, AI chat interactions, tasks, expenses, and feature usage.

Voice Data: If you use voice-to-text for notes, audio is processed by our service providers to generate transcripts. We do not store raw audio.

Device Information: We may collect device type, operating system, and app version for support and compatibility.

IP Address and Approximate Location: When you use the app, we log your IP address for security and audit purposes. We may derive approximate location (country, city) from your IP to support security monitoring, fraud prevention, and compliance. This information is stored in audit logs.

2. Third-Party Services

We use the following third-party services that may process your data:

Firebase (Google): Authentication, email verification, password reset
RevenueCat: Subscription and entitlement management for in-app purchases (iOS/Android). For team owners purchasing team subscriptions via web checkout, RevenueCat also facilitates Stripe-backed hosted checkout.
In-App Purchases (App Store / Google Play): Individual and team member subscriptions are purchased and managed through the device app store.
Stripe (via RevenueCat web checkout): Team Owner corporate subscriptions are purchased through a hosted web checkout, processed by Stripe.
Google Sheets (optional): If you connect your Google account to sync visit logs or referrals to a Google Sheet you select, Google processes spreadsheet metadata and content as needed to read and write that data on your behalf.
Google Maps: Map display, geocoding, route planning
AI Providers (e.g., Google Gemini): AI chat, route planning, visit prep, and coaching features
Cloud Hosting: Secure storage and processing of your data

Each provider processes data under strict agreements and for the purposes of providing our Service.

3. How We Use Your Information

Provide and improve the FieldIQ app and services
Authenticate your account and manage your subscription
Generate AI-powered insights, route plans, and visit preparation
Send summaries, notifications, and support communications
Comply with legal obligations and enforce our terms
Analyze usage to improve features and user experience

4. Data Sharing

We do not sell your personal information. We may share data with:

Service providers (e.g., cloud hosting, AI APIs, email) who process data on our behalf under strict agreements
Team members within your organization when you use team features
Legal authorities when required by law or to protect our rights

Platform Administration: Authorized NexReach staff (platform administrators) may access account data when necessary for customer support, security investigations, legal compliance, or to fulfill data export or deletion requests. All such access is logged and audited.

5. Data Retention

We retain your data while your account is active. Audit logs are retained for up to 2 years. You may request deletion of your account and data at any time via Profile → Delete Account in the app.

6. Your Rights (GDPR / CCPA)

You have the right to:

Access your data (Profile → Export My Data)
Delete your account and data (Profile → Delete Account)
Correct your information in Profile settings
Opt out of marketing emails (unsubscribe in any email)
CCPA: We do not sell personal information. You may exercise your rights by contacting us.

7. Security

We use encryption in transit (HTTPS/TLS) and at rest. Passwords are hashed. Access to data is restricted and audited. Platform administrator access to user data is limited to authorized staff and is logged for compliance.

8. Children

FieldIQ is not intended for users under 18. We do not knowingly collect data from children.

9. International Data Transfers

Your data may be processed in the United States or other regions where our service providers operate. By using the Service, you consent to such transfers.

10. Changes

We may update this policy. We will notify you of material changes via the app or email. Continued use after changes constitutes acceptance.
